Can AI customer service approve a refund?
Short answer
It can confirm receipt of the evidence, ask for the order number, explain the review path, and state that no result has been approved. It should not promise a refund, store credit, replacement, or deadline unless the host already records that decision.
Why this goes wrong
Language models often compress several states into one helpful-sounding sentence. Evidence received becomes claim accepted; claim accepted becomes refund approved. The customer hears a financial commitment even though the system only recorded an attachment.
How Tonetify handles it
The host supplies current order and authority facts. A Reply Contract requires review language, forbids approval terms, and provides a fallback. Tonetify checks the candidate before Relay delivers the selected reply.
Before you implement
- 01Confirm what evidence exists
- 02Name the decision owner
- 03State whether approval exists
- 04Ask only for information needed next
